Terms and Conditions

Terms and Conditions are very important information for members who are willing to book trekking, peak climbing and tour trips with Popular Trek and Tour Company. The Terms and Conditions contain the information to the client regarding the procedures of Booking Confirmation, Payment and Refund System, Cancellation, and Other Charges levied as per policy. You are suggested to read and understand it carefully before a declaration of booking any package. The Booking Terms and Conditions constitute a legally required contract between Popular Trek and Tour along with you for the services to be provided by us and set out the basis of your legal relationship with our Company. The details of our Terms and Condition are listed below:

 

Booking and Payments

To make a Booking you must send us a completely filled Booking Application Form, with 20% of payment of the trekking/hiking/tour cost, or 30% of the peak climbing/ expedition cost. This will constitute acceptance by you of these Terms and Conditions. You need to submit a scanned copy of each passport of the team members to our office via email including passport size picture. Rest 20% of trekking cost, or 30% of Peak Climbing cost should be paid as 2nd installment at least 15 days prior you leave from your country to Nepal for the trip. Balance 60% of trekking cost or 40% of peak climbing/expedition cost should be made in Kathmandu before departure for the Trip. The trekking/tour/ climbing/expedition trip is starting only after full payments of the total trip cost. The cost is valid as agreed.

Please, contact us once regarding direct deposit details. The client is paying the bank charge himself/herself at the time of payment from his/her bank. A receipt will be provided as per the amount received in our account only.

Cancellation Policy and changing date

A notice of cancellation shall be submitted by a client in writing by mail with an authentic reason(s), then refund procedure will be made as follows:

Cancellation rule for trekking/hiking/tour etc.

  • If cancellation made before 30 days of the trip’s departure date, 15% of the total trip cost will be charged as cancellation and rest will be adjusted in their next trip or refunded after deducting the processing charge of Nepal Rastra Bank to make a draft.
  • If cancellation made before 15 days of the trip departure date, 25% of the total trip cost will be charged as cancellation, further will be same as above process.
  • If cancellation made before 7 days of the trip departure date 40% of the total trip cost will be charged as cancellation.
  • If cancellation made within the week of departure or upon arrival in Kathmandu no refund shall be provided. Due payment should be made or claimed by legal process.

Cancellation rule for Peak Climbing

  • Cancellation before 60 days of the trip, 15% cancellation will be charged.
  • Cancellation Before 30 days of the trip 25% cancellation will be charged.
  • Cancellation Before 15 days of the trip 50% cancellation will be charged.
  • Cancellation Before less than 15 days no refund will be provided.
  • The cost of Climbing Permit/s already purchased is/are not refundable.

Cancellation rule for air ticket purchase

  • If cancellation made before 30 days of the ticket departure date, 15% of the total face value will be charged as cancellation and rest will be adjusted in their next trip or refunded after deducting the processing charge of Nepal Rastra Bank to make a draft.
  • If cancellation made before 15 days of the ticket departure date, 25% of the total face value will be charged as cancellation, further will be same as above process.
  • If Cancellation made before 07 days of the trip departure date 50% of the total face value cost will be charged as cancellation.
  • If cancellation made within the week of departure or upon arrival in Kathmandu no refund shall be provided. Due payment should be made or claimed by legal process.
  • No refund will be made of the deposit amount in case of cancellation of trip for any other else reason.
  • No refund will be made to clients who drop out from the journey regardless of whatever portions remain unused in the itinerary.
  1. Due to any physical ails, injured or an accidents if clients deserve to cancel the trips he/she should have to post a government approved paper towards us despite that we can change the trip date and wait for a year, or one can transfer the trip to his/her mates of family members. We have a great patience for those options even though the clients are the failure to abide by our Cancellation and changes date he/she should have to incur.
  2. If a passenger leaves a trip for their own reason either if they do violence, not respect for local areas, people, any unlawful act if he does these things during a trip your local guide will not take of your response. Unused portion trip no refund given back.
  3. If you would like to change the date for any trekking and any adventure trips. Please kindly inform us of a month’s advance. If you let us know less than 5 days deposit will collapse.
